This Privacy Policy describes how we collect, use, disclose, and protect personal information in connection with our organizational transformation consulting services.

This Policy applies to information collected through our Services, website, and communications. By engaging our Services or participating in our programs, you consent to the practices described in this Policy.

2.1 Client Organization Information

From client organizations, we collect company name and contact information; authorized representative details; billing and payment information; organizational structure and culture data relevant to Services; and business metrics and performance data as needed for assessments.

2.2 Program Participant Information

From individuals participating in our programs, we may collect name, email address, and job title; responses to assessments and self-reflection exercises; conversation content with AI coaching tools; progress and engagement data; and optional demographic information for aggregate analysis.

2.3 Automatically Collected Information

When you access our digital platforms, we may automatically collect device and browser information; IP address and general location; usage patterns and interaction data; and cookies and similar tracking technologies.

3. How We Use Information

3.1 Service Delivery

We use collected information to deliver and improve our consulting services; personalize program content and recommendations; track participant progress and program effectiveness; generate aggregate insights and reports for client organizations; and communicate about services, updates, and support.

3.2 AI-Powered Services

Our AI-assisted tools process participant information to deliver personalized coaching conversations; generate insights based on the Mirrors, Windows, and Open Doors framework; provide recommendations for personal and professional development; and create aggregate organizational insights. We do not use individual participant data to train AI models without explicit consent.

3.3 Business Operations

We use information for billing and account management; legal compliance and contractual obligations; service improvement and development; and security and fraud prevention.

4. Information Sharing

4.1 With Client Organizations

We share aggregate and anonymized insights with client organizations to support transformation objectives. Individual participant responses and personal reflections are NOT shared with employers unless the participant explicitly consents or the specific engagement requires identified reporting (disclosed in advance).

4.2 Service Providers

We may share information with service providers who assist in delivering our Services, including cloud hosting and data storage providers; payment processors; analytics and reporting tools; and AI platform providers. All service providers are bound by confidentiality obligations.

4.3 Legal Requirements

We may disclose information when required by law; in response to valid legal process; to protect our rights, safety, or property; or in connection with a merger, acquisition, or sale of assets.

5. Data Security

We implement appropriate technical and organizational measures to protect personal information, including encryption of data in transit and at rest; access controls and authentication requirements; regular security assessments; and employee training on data protection. No system is completely secure, and we cannot guarantee absolute security of your information.

6. Data Retention

We retain personal information for the duration of the client engagement plus three (3) years, unless a longer retention period is required by law or requested by the client. Participant data may be retained in anonymized form for research and service improvement purposes. Upon request, we will delete or anonymize personal information within ninety (90) days, subject to legal retention requirements.

7. Your Rights and Choices

7.1 Access and Correction

You may request access to your personal information and ask us to correct any inaccuracies. Corporate clients may request access to organizational data and reports.

7.2 Deletion

You may request deletion of your personal information, subject to our legal obligations and legitimate business needs. Note that deletion may affect your ability to participate in our programs.

7.3 Opt-Out

You may opt out of marketing communications at any time by following unsubscribe instructions or contacting us directly. Opting out of marketing will not affect service-related communications.

7.4 Data Portability

Upon request, we will provide your personal information in a commonly used, machine-readable format.

8. Children’s Privacy

Our Services are designed for business use and are not directed to individuals under the age of eighteen (18). We do not knowingly collect personal information from children. If we learn that we have collected information from a child, we will delete it promptly.

9. International Data Transfers

Our Services are primarily operated from the United States. If you access our Services from outside the United States, your information may be transferred to, stored, and processed in the United States. By using our Services, you consent to such transfers.

10. California Privacy Rights

California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected; the right to request deletion; the right to opt out of the sale of personal information; and the right to non-discrimination for exercising privacy rights. We do not sell personal information as defined by the CCPA.
